1. Who we are

Tend is a service operated by ClearTools Ltd, a company registered in England and Wales (company number 17181425), referred to in this policy as "we", "us", or "Tend".

This policy describes how we collect, use, and protect your personal data when you use Tend.

2. What data we collect

When you create a Tend account, we collect:

  • Your email address
  • Your password (stored encrypted, never readable by us)
  • Your company's Companies House registration number

When you use Tend, we collect:

  • Information you provide about your company (VAT scheme, payroll frequency, year-end date)
  • Renewal records you create (insurance providers, certificate dates, domains)
  • Dividend records you create (amounts, declaration dates, shareholder details)
  • Documents you upload to your vault
  • Your preferences and settings

We also automatically collect:

  • Information from Companies House about your registered company (officers, filings, registered address)
  • Technical information about your visit (IP address, browser type, timestamps)
  • Information about how you use Tend (pages visited, features used)

3. Why we collect this data

We use your data to:

  • Provide the Tend service
  • Track your statutory deadlines accurately
  • Generate documents (board minutes, vouchers, registers) that reflect your actual company data
  • Send you reminders about upcoming deadlines (only as you've configured)
  • Communicate important account information
  • Improve Tend based on how it's used

4. Who else processes your data

We use carefully selected service providers to deliver Tend:

  • Supabase (database and authentication, EU-hosted) — stores your account data, encrypted at rest
  • Brevo (email delivery, EU-based) — sends you reminder emails and account communications
  • Stripe (payment processing, EU-based) — processes your subscription payments. We never see or store your card details
  • Vercel (hosting, global) — runs the Tend application
  • Companies House (UK government) — we make API requests to retrieve your company's public filings

We do not sell your data to anyone. We do not share it for marketing purposes.

5. How long we keep your data

While your account is active, we keep your data for as long as you use Tend.

If you cancel your account, we keep your records for 7 years after cancellation. This is because UK companies are legally required to keep certain records (including dividend declarations and statutory registers) for 6–7 years for HMRC purposes. Keeping your data for this period means you can recover it if needed.

After 7 years, we delete your data permanently.

You can request earlier deletion at any time (see "Your rights" below).

6. Cookies

We use a small number of cookies to make Tend work:

  • Essential cookies — these keep you signed in to your account. Without them, Tend cannot function. These are set automatically.
  • Analytics cookies — if you've consented, we use these to understand how Tend is used and what to improve. You can change your preference at any time by clearing your browser cookies.

We do not use marketing or advertising cookies.

7. Your rights

Under UK data protection law, you have the right to:

  • Access your personal data — request a copy of what we hold
  • Correct inaccurate data
  • Delete your data ("right to be forgotten") — subject to our legal retention obligations
  • Restrict how we use your data
  • Port your data to another service
  • Object to certain types of processing
  • Lodge a complaint with the Information Commissioner's Office (ICO) — ico.org.uk

8. Security

We protect your data through:

  • Encryption at rest (database storage)
  • Encryption in transit (HTTPS for all connections)
  • Access controls (only authorised systems can access your data)
  • Regular security updates
  • Secure password storage (passwords are hashed and salted, never stored in readable form)

We cannot guarantee that any system is perfectly secure, but we take reasonable steps to protect your information.

9. Children

Tend is not intended for use by anyone under 18. We do not knowingly collect data from children.

10. Changes to this policy

We may update this policy as Tend evolves. When we do, we'll update the "Last updated" date at the top, and notify you by email if the changes are significant.
